    What personal data we collect and why we collect it


    When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

    An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

    If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

    If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

    Who we share your data with

    We will never share your data with another party without first gaining your express permission. If you are paying for training or goods with debit card, you have given us permission to process your card details with Stripe. They own have their own data protocols (stronger than PayPal) and own Mastercard Europe (among others).

    How long we retain your data

    If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. For the club members, we will retain your data only for as long as necessary to process membership activities (grading records within Martialytics etc). Once you become an inactive member we will delete you from the server, and the Facebook Group.

    What rights you have over your data

    At any time you can ask to look at your personal data. We should be able to achieve this within 48 hours, but if on holiday, might ask for up to 14 days. We will usually email a screenshot. You can also:

    • Object to processing that is likely to cause or is causing damage or distress.
    • Have inaccurate personal data corrected, blocked, erased or destroyed (in certain circumstances).
    • Complain to the Information Commissioner’s Office.
    • Claim compensation for damages caused by a data protection breach.

    How we protect your data

    We store the information on secure, password protected software called Martialytics, specially designed for martial arts clubs. They comply with all data laws, and their server is based in Australia. The actual data is cloud-based, so it is never ‘stored’ on our computer. In any event, our computer is password protected and has a screen lock function.

    In addition, you have shared your personal details if you joined our closed Facebook Group. That group’s purpose is self-evident.

    We will remedy any errors quickly, and apologise. We will work with the Information Commissions Office to improve.
